Scope: The Time Reporting System Administrator reviews and processes employee time records for monthly labor posting. Works closely with the Finance and Operations department to process labor expense reclasses. Assists the Office of General Counsel with the preparation of regulatory reports for submission to Congress. Works with department managers throughout the organization to train staff in proper coding of labor and expenses, especially with regard to c3/c4 compliance, grant restrictions and lobbying activities. Works with Sierra Club Foundation to process grant condition letters. Provides administrative support and labor financial reports for department programs and staff.

 

Job activities include but are not limited to:

  1. Coordinates and processes monthly labor charge-out for Sierra Club departments. Ensures proper project coding and review of all time records, particularly those involving restricted projects. Ensures timely submission of Workday time reports by running delinquency reports and following up directly with staff.
  2. Manages training, record keeping and administrative processes associated with time keeping in the Workday System and our internally developed STARS system. Performs system administrator activities, assists in setting up new users and maintaining structural and reporting relationships. Works with the IT department to identify and correct problems with the systems and implement appropriate upgrades. Updates system help site.
  3. Develops and leads scheduled and ad-hoc Time Tracking and Reporting trainings for national and chapter staff.
  4. Researches and responds to questions and requests for labor costs from staff and volunteers.
  5. Provides general financial and administrative support to Finance and Operations staff, including: the creation of activity codes in Netsuite and maintenance of staff activity codes in STARS and Workday; the creation and maintenance of reports and tables detailing activity code assignments.
  6. Assists the Office of General Counsel with the preparation of the Lobbying Disclosure report for submission to Congress. Reviews staff lobbying entries for accuracy and completeness.
  7. Sends out and keeps records of written agreements among the Sierra Club Foundation, Finance and Operations, and various project directors regarding project spending.
  8. Works as an integral part of the Finance and Operations team, performing miscellaneous duties as required including some administrative duties.

The successful candidate must have the following skills and experience:

  • Strong attention to detail and working with large datasets.
  • Excellent analytic, communication, and organizational skills.
  • Proficiency with word processing, database systems, and advanced spreadsheet functions including: formulas, pivot tables, sorting, and the exporting/formatting of data between systems.
  • Equity Analysis and Practice. You are aware of your group identities and how they have shaped your life and experiences at work. You have an analysis of how racism and other forms of oppression in society impact relationships, systems and culture. You bring experience and skills for working effectively with colleagues across group identities and position/role.
  • Able to meet monthly and quarterly deadlines.

The strongest candidates will also demonstrate the following experience, skills and competencies:

  • Experience with Netsuite.
  • Demonstrated ability to manage database systems, including designing and producing management reports.
  • Work well with large number of staff in remote locations

Compensation and Benefits

The salary range for this position is $62,000 to $65,000.

The Sierra Club offers a competitive salary package commensurate with skills and experience plus excellent benefits that include medical, dental, and vision coverage, and a retirement savings 401(k) plan.

This is a category 5 Non-exempt, represented position. This position requires occasional overtime to meet special deadlines, projects, other staff absences, or emergencies. Under these circumstances, overtime will rarely exceed 5 hours per week or 15 hours on a monthly basis.
