General Description
The Recruitment & Hiring Assistant is a vital member of the HR & Operations team, supporting full life cycle recruitment and onboarding efforts with a strong focus on equity and inclusion. Under the guidance of the Director of Recruitment & Hiring, the Assistant’s primary responsibilities include supporting recruitment outreach, scheduling, candidate communication, and assisting with new employee onboarding, all while providing an excellent candidate experience at all touchpoints. In addition, the Recruitment & Hiring Assistant will support various process improvement initiatives and play a role in the other HR projects and initiatives.

Essential Duties & Responsibilities
· Serves as the liaison between candidates, hiring managers, and Human Resources staff, moving candidates through various stages of the application, hiring, and onboarding processes.
· Responsible for posting new positions internally and externally, utilizing our standard format and applicant tracking system and tracking statistics related to candidate sourcing.
· Coordinates in-person and virtual candidate interviews with hiring managers, interview committee members, and candidates and oversees all interview logistics, including:
o Scheduling, including coordination with hiring managers, interview committee members, and candidates, and sending calendar invites.
o Conference room reservation and preparation for in-person interviews.
o Zoom or Microsoft Teams meeting logistics for virtual attendance.
o Sending and collecting from candidates screening tests prior to interviews.
o Distribution of candidate application materials to interview committee members.
o Candidate travel logistics and/or expense reimbursement, as needed.
o Coordination of schedules and assisting with candidate materials with external recruitment firms as needed.
· Responsible for candidate communication, including but not limited to, answering general questions, communicating status of applications, and sending “no thank you” notes to candidates not advancing in the process. Provides accurate and thorough documentation on candidate communication and status in our applicant tracking system.
· Tracks recruitment activity concerning all phases of the recruitment process, including but not limited to, hiring manager communication, interview committee members, number of candidates screened and selected, and EEO statistics, utilizing the appropriate internal reporting mechanisms. Handles all candidate information with discretion.
· Obtains background check consent forms and initiates background checks of final candidate(s) through a third-party vendor. Provides the Director of Recruitment & Hiring reports for review.
· Coordinates new hire requirements with the hiring manager, IT, and Facilities departments.
· Responsible for soliciting input from hiring managers and creating new hire onboarding schedules. Adheres to required deadlines related to onboarding requirements, documentation, and communication and monitors the onboarding process for new employees, aiding the HR Specialist as needed.
· Responsible for scheduling and coordinating new hire orientation sessions as needed for all new employees, under the supervision of the Director of Recruitment & Hiring.
· Acts as an additional point of contact to new hires throughout their selection and onboarding process.
· Supports collaboration of projects and processes with all members of the HR & Operations team.
· Performs other related duties as required.
QUALIFICATIONS
Experience, Competencies, and Education
· 1-3 years of experience in a customer-facing service role. Experience in an HR department is strongly preferred.
· Strong experience creating and coordinating schedules and attetion to detail.
· Demonstrated experience working collaboratively in a cross-functional environment, building relationships with a commitment to implementing goals and objectives in a timely manner.
· Track record working successfully in teams representing a rich mix of talent, backgrounds, and perspectives—across race and gender.
· Outstanding written, verbal, and interpersonal communication skills. The successful candidate is detail oriented, analytically minded, and has a friendly, service-oriented demeanor.
· Experience tracking data in a customer relationship management tool and generating related reports.
· Must have an ability to handle sensitive and confidential data and situations. Position continually requires demonstrated poise, tact, and diplomacy.
· Ability to prioritize multiple tasks and successfully accomplish tasks in a deadline-oriented environment.
· Proficient in MS Office, including Word, Excel, and Outlook. Experience using ADP Workforce Now is preferred but not required.
