UCS’s Membership Program
The Membership Society Coordinator role exists to support critical operational and project management routines on the Membership team, allowing Director of Membership, Associate Director of Membership, Henry Kendall Society (HKS) Gift Officers, Development Digital Marketing Manager, and other Development department staff to maintain and grow successful membership society programs. Specifically, the Coordinator adds capacity to allow gift officers and other staff to pursue the highest return-on-investment fundraising and cultivation strategies for UCS’s two membership-level societies – HKS, the mid-level leadership giving program for those who give $1K-$24.9K annually, which generates $7M+ from more than 4,000 individuals, and Partners for the Earth (PFE), the monthly giving program, which generates $3.5M+ from more than 12,000 donors. The Coordinator is a constituent management (CRM) database power user and will work collaboratively with database operations teams to help lead data hygiene routines, optimize existing systems, produce outreach lists and reports, and aid in the development of new functionality and new systems as needed. We are also seeking an experienced project manager to help support new initiatives in Membership societies and act as a key liaison between the Membership team and our partners in the Development Database Operations team in addition to teams across the Development department.
Execute CRM database and administration routines.
•Working with Development Data Operations team members and relational databases, providing strong support for HKS and PFE in the development, assistance, and maintenance of reports on society giving in general and assigned individual portfolios specifically.
•Help maintain the accuracy of HKS records in CRM databases; enter records, interactions, and automated reminders for contacts (written, via telephone, or in person) with donors and update associated forms.
•Support data requests for marketing and individual outreach efforts across channels tailored to Membership society audiences, as well as the response tracking and timely report-outs to measure the success of these efforts.
Support targeted development strategies for the Henry Kendall Society.
•Support the Membership team in leveraging advocacy, surveys, research, and analytical data to help determine strategies for targeted cultivation and solicitation of Henry Kendall Society mid-level giving portfolio members and prospects with high engagement interest and/or increased giving potential for both societies.
•Support the Membership team and HKS Gift Officers during major Membership campaign drives such as year-end giving in November/December and periods of significant stewardship activity that typically follow.
•Coordinate and send targeted email communications to key HKS members via Outlook mail merge, creating and ensuring the accuracy of list pulls.
•Help foster cross-team initiatives and coordinate closely with Planned Giving and Major Gifts team members to ensure best practices for overall UCS donor pipeline development.
Assist with project management for society-specific marketing and events.
•Support project management for the development and production of existing society-specific marketing, including society newsletters and targeted appeal mailings, emails, telemarketing, and donor surveys.
•Implement and help project manage new data-driven marketing, stewardship, and cultivation strategies to upgrade and retain donors within both HKS and PFE.
•Support HKS Officers and Membership team, in collaboration with the Stewardship and Engagement team, to develop content, coordinate invitations, and facilitate the production of online and offline communications with members of HKS and PFE.
•Occasionally staff events with Kendall Society members; event offerings may include in-person and virtual programs.
Qualifications and Experience
•A bachelor’s degree is preferred. Comparable training and/or experience may be substituted for degrees when appropriate.
•Three years of relevant and comparable level of nonprofit development, fundraising, or equivalent experience in sales or other sectors.
•A goals and results orientation mindset is required, as is an interest and desire to excel in supporting ambitious fundraising projects.
•Possess the following key characteristics: a high degree of initiative, strategic agility, ability to deal with ambiguity, quality decision-making, collaborative spirit, persistence, and creativity.
•Superior communication skills, both written and verbal, and a desire to initiate and engage in conversations with donors regarding their giving priorities and UCS activities.
•Strong organizational and prioritization skills, including the ability to anticipate tasks, manage multiple projects, meet deadlines, and function smoothly under strict deadlines and shifting priorities—with thorough attention to detail and follow-through.
•Prior experience working with complex constituent and/or customer relationship management (CRM) or relational databases is critical to this role.
•The ability to learn about and work with a complex donor database, and learn, retain, and utilize complex data entry routines and rules.
•Proficiency with Microsoft Office software is a plus, as is a commitment to the environment and interest in UCS issue areas.
•Must be able to remain in a stationary position for long periods.
•Continuously operate a computer and must have the ability to control a mouse and keyboard.
•Communicate in verbal and written formats with internal staff and external constituents.
