The Executive Assistant to the President of the National Wildlife Federation serves as a key member of the Office of the President, reporting to the director of the Office of the President to provide administrative support to the president and chief executive officer of the Federation.
This position supports a fast-paced team and executive through a wide variety of administrative tasks. The executive assistant is responsible for scheduling, meeting preparation, travel arrangements, expense reports, light presidential correspondence, and other logistical assignments. The position requires excellent interpersonal and communication skills with both internal and external constituencies, as well as good judgment and discretion. Time management and attention to detail are essential. The successful candidate should be mission-oriented and have a keen interest in advancing the Federation’s core values and commitment to diversity, equity, inclusion, and justice.
This position is currently based at the Federation’s headquarters in Reston, VA. Due to COVID-19, non-essential employees are working remotely until further notice. Upon the full reopening of Federation offices, this position may accommodate work at offices in Reston or Washington, DC on a fully in-person or hybrid basis, with a preference for at least occasional in-person assignments in Reston.
- Scheduling: Coordinate regularly with internal and external constituencies to help manage the president’s calendar in partnership with the office director; help schedule phone calls, both digital and in-person meetings, and task time
- Travel Arrangements: Research and book timely and cost-efficient presidential travel arrangements, including but not limited to flights, trains, car rentals, lodging, and meals; provide related reminders, such as weather and packing info; assist with digital check-in, as necessary
- Expense Reports: Process presidential expense reports and check requests
- Itinerary/Briefing Preparation: Gather meeting information from internal and external constituents; prepare meeting materials, such as itineraries, agendas, and briefings
- Task & Time Management: Assist president with task and meeting reminders; track and submit timesheets; review and approve president’s direct reports’ timesheets
- Communications: Monitor phone, email, and physical correspondence; communicate periodic scheduling or task updates to internal and external constituents; lightly draft and edit presidential correspondence, such as thank-you messages and holiday cards; assist with signature requests
- Periodic Logistical Support: Maintain and stock presidential office space; make small purchases, as necessary; prepare meeting rooms; greet guests and visitors
- General Support: Assist and provide coverage for the office director, as needed
- Miscellaneous: Perform other duties, as assigned or as needed
- Associate’s degree required; bachelor’s degree or equivalent preferred
- Minimum of 5 years of administrative experience, including at least 2 years directly supporting a senior executive
- Mission-driven, proactive, and dedicated to team success
- Administrative skills in a fast-moving environment, including periods of irregular work hours
- Organizational skills, with exceptional attention to detail; project management experience
- Astute judgment and discretion; experience working on sensitive or confidential matters
- Strong written and oral communication abilities
- Experience completing work and assignments independently, sometimes with little day-to-day supervision
- Outstanding interpersonal abilities; experience interacting with internal and external stakeholders, as well as high-level officials or dignitaries
- Resilience; ability to perform tasks and maintain composure under pressure, amid interruptions, or against competing demands
- Strong technological competence required, including familiarity with computers; basic internet research; Microsoft (e.g. Outlook, Word, Excel, PowerPoint); and digital communication platforms (e.g. Zoom, Teams, WebEx)
- Familiarity with other digital tools not required but helpful, including Google (e.g. Docs, Sheets, Slides); customer relationship management (CRM) products or databases (e.g. Salesforce); or other enterprise support software (e.g. Concur, UltiPro)

Compensation and Benefits:
The salary range for this position is $60,000-$70,000 annually, depending upon qualifications and experience.
