POSITION SUMMARY:

Greenpeace USA is hiring a Communications Operations Coordinator/Assistant to join our Communications Department, and provide critical support to the Communications Department for Greenpeace Inc. and Greenpeace Fund. It is a unique opportunity for a passionate and proactive individual to support the Communications Department in delivering on its priorities by driving key operational and administrative procedures across all Communications activities.

 

The Communications Operations Coordinator/Assistant position is responsible for managing the administrative, communication, and project management needs of the Communications Department, and reports directly to the Chief Communications Officer based in Washington, DC.

 

This is a full-time, benefits-eligible position, based in any authorized Greenpeace state: CA, CO, CT, DC, FL, GA, IL, MD, ME, NC, NV, NY, NJ, OR, VA, WA, and will report to the Chief Communications Officer.

The Communications Operations Coordinator/Assistant will be responsible for:

Leadership Support (30%)

  • Provides scheduling, travel, and administrative support to the Chief Communications Officer as needed.
  • Assists the Communications Leadership Team with logistics, notes, and coordination of meetings, retreats, training, etc. as needed.
  • Provides assistance to the Communications Department on the annual Communications Department’s objectives.
  • Assists Communications Leadership Team with monitoring and evaluating projects related to the annual objectives.
  • Special projects as assigned by the Chief Communications Officer.

Operations Analysis & Coordination (30%)

  • Analyze, communicate, and assist the Communications Leadership Team in establishing and communicating systems, protocols, and procedures for Communications Department staff to foster a more streamlined and productive department.
  • Support Communications Staff in properly following administrative procedures like reconciling funds, paying contractors, managing accounts and other administrative tasks.
  • Maintain information and databases with up-to-date information on the Communications Department.
  • Work with operations teams in Development, Program, and Administration departments to provide organizational support and share organizational knowledge. This includes assuming organizational work, logistical planning, and note-taking when needed, as well as attending monthly meetings with other operations teams to ensure efficient organizational communication..

Information Sharing and Communications (40%)

  • Supports the adoption of Asana as the Communications Department’s primary project management tool.
  • Creates and executes communications to the Communications Department or rest of the organization to provide information on meetings, reporting on engagement metrics, budget updates, Communications Department Newsletter, etc.
  • Work with operations teams throughout the organization to provide organizational support and share organizational knowledge. This includes assuming organizational work, logistical planning, and note-taking when needed, as well as attending monthly meetings with other operations teams to ensure efficient organizational communication.
  • Manage the GPUSA Output Master Calendar, in close collaboration with the Communications Leadership Team.
  • Communicate regularly with administrative and development departments to ensure transparency and collaboration across all organizational departments.

Minimum requirements for this role include:

  • An interest in environmental justice
  • 2-3 years of experience in administrative or non-profit work
  • Desire to work in a fast paced, values driven environment with the flexibility to do what’s needed to get the job done
  • Ability to track and manage multiple projects at one time
  • Experience eveloping systems
  • Familiarity working with organizational budgets and tracking systems

  • Excellent verbal and written communication skills.
  • Positive attitude and excellent interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to anage multiple projects efficiently and to meet strict deadlines.
  • Ability to work independently with little supervision required.
  • Demonstrated ability to coordinate and facilitate the completion of complex administrative tasks in a timely manner, including meeting strict deadlines.
  • Flexibility in dealing with urgent requests and projects.
  • Demonstrated ability to work in a fast-paced, dynamic environment.
  • Proficiency with Asana, Google Suite and slack.
  • Excellent judgment, discretion and diplomacy.
