The Major Gifts Data Associate reports to the Major Gifts Systems Manager and works under the supervision of the Major Gifts Systems Manager and the Major Gifts Data Manager. Core priorities for this role will be coordinating donor acknowledgment processes and working with fellow MG Systems team staff to ensure donation information is accurately reflected in the donor database for the Major Gifts and Principal Gifts portfolio. Another key responsibility will be to support the Major and Principal Gifts teams with data entry needs for the frontline fundraisers for their activities with the organization’s largest individual and family donors.

 

This position will work in an administrative capacity to ensure timely, accurate, and consistent data entry for donor-related responsibilities. This will include but is not limited to, entering donor correspondence and meeting notes, updating donor records, entering information on donor plans, and participating in various data hygiene projects.

 

This position requires a self‐starter who can work both collaboratively and independently and possesses strong interpersonal skills. They must be highly detail-oriented and be able to manage multiple projects and tasks simultaneously while taking direction from multiple people.

 

The Major Gifts Data Associate will perform a variety of administrative tasks, including but not limited to responding to ad-hoc requests for support from gift officers, writing and copy-editing assignments, generating and sending acknowledgment letters and gift-related correspondence, and spreadsheet management. They will have frequent interaction with staff members within the organization and occasional interaction with donors and members of the Board and Council.

 

The candidate should have demonstrated ability in using CRM databases, an impeccable attention to detail, and a meaningful enjoyment of efficiency and spreadsheets.

 

The Major Gifts Data Associate is a member of the Major Gifts team, as well as a key part of the Major & Principal Gifts Systems sub-team. This position is based in our headquarters located in San Francisco, CA with opportunities to work remotely after the first 6 months.

 

Responsibilities

Donor Giving and Stewardship (40%)

  • Ensure donors within the Major and Principal Gifts portfolio are properly acknowledged by Earthjustice for tax purposes in a timely manner. This includes verifying that donation details and donor requests are accurately reflected in the donor database (BBEC) and periodically refreshing template language.
  • Work closely with the MG Systems Manager and Development Operations team to ensure donor giving is accurately entered and both in-house and automated acknowledgment processes are well maintained and functioning properly and efficiently.
  • Perform routine hygiene processes and data clean-up projects throughout the year to ensure that acknowledgment preferences are honored and revenue reporting is accurate.
  • Draft pledge and gift intention documentation in partnership with MG Systems Manager, send funding reminders to donors in multi-year commitments and ensure pledges and documentation are accurately tracked in BBEC and compliant with audit requirements.
  • Maintain records for Major and Principal Gifts match programs and report on progress as needed.

Data Entry and Integrity and Database Administration for Major Gifts Team (50%)

  • Monitor the data entry inbox and ensure all donor correspondence is accurately entered into the CRM database for 8 gift officers.
  • Input donor engagement information into the database in an accurate and timely fashion.
  • Complete Major and Principal Gifts data hygiene projects to ensure accurate donor information is reflected in donor database.
  • Enter and track budget, giving, and solicitation details in partnership with Major Gifts Data Manager and Gift Officers and report out to the team on progress.
  • Monitor team’s administrative inbox and respond to requests from fundraisers.
  • Update relevant operational documentation on team’s intranet site (Atlas).
  • Support the Major Gifts Data Manager in the annual Board of Trustee and Council work plans process and data tracking.
  • Support the Major Gifts Data Manager with portfolio management projects throughout the year.
  • Serve as backup to other members of the Major Gifts Systems team, as needed.

Responsiveness to Administrative Requests (10%)

  • Support other team members with tasks, projects, and assignments as needed.

Qualifications

  • Bachelor’s degree plus 3-5+ years of relevant experience, or Associate’s degree plus a minimum of five years of relevant experience required.
  • A minimum of 3 years of Development experience (fundraising) preferred, or 5 years of related nonprofit experience.
  • CRM database management skills required with ability to produce reports and to use advanced functions.
  • Meticulous attention to detail, including ability to work comfortably with data sets and numbers, copy-editing and proofreading skills, and an ability to zero in on minute details related to donor giving.
  • Excellent analytical skills, ability to adapt, cooperate effectively, and creatively problem solve.
  • Advanced knowledge of Outlook, Word, and Excel or equivalents required, including sophisticated knowledge of the Internet.
  • Exemplary organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments coming from multiple stakeholders.
  • A self‐starter who is able to work both collaboratively and independently, and possesses strong interpersonal skills.
  • Previous experience supporting major gifts officers, running tax receipt or acknowledgment processes, and/or data entry a bonus.
  • Superior communication skills, including demonstrated experience writing effective correspondence required; experience writing and copy-editing solicitation letters, grant reports, proposals, and/or content for a professional website, blog, or similar materials a plus.
  • Ability to field requests with an approachable, curious, and considerate attitude.
  • Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
  • Contributes to the creation of a diverse, equitable, and inclusive work culture that encourages and celebrates differences.
  • Ability to use discretion and diplomacy in dealing with donors, Board members, and colleagues and in handling confidential information.
  • Background and/or interest in environmental issues preferred.
  • Sense of humor requested.
