The Wilderness Society’s Philanthropy Team is a 20-person powerhouse that is responsible for raising funds to help fuel the organization’s fight to protect our wild places for future generations. We’re looking for a highly organized and collaborative person who can help keep the trains running and be a part of a supportive team of fundraising professionals.

The Philanthropy Associate’s main objectives are to provide administrative support for the Vice President of Philanthropy and to support the Philanthropy team as a whole in reaching our fundraising goals. This includes but is not limited to improving operational efficiency, coordinating budgets and donor activity across giving channels, documenting interactions with our best donors via our database of record (ROI), preparing the Vice President for travel and meetings, and above all, employing great discretion and attention to detail in support of the overall Philanthropy team.

In this role, you will also provide administrative support to the Senior Director of Donor Relations, the Eastern Region Major Gift Officer and other Senior Philanthropy Directors located in the DC office.

Administrative Support (50%)

  • Supports the Vice President of Philanthropy (VP) to ensure the efficient operation of the entire Philanthropy department, including maintaining budget information, arranging travel and departmental meetings, managing supply inventory, and other administrative tasks.
  • Assists with planning and logistics for special events and presentations, including our Governing Council meetings (3 annually), committee meetings, and fundraising or “friendraising” events in various markets.
  • Assists VP in prioritization of all activities related to donor management; including preparing for donor visits and solicitations, entering in all data to ROI related to VP activity; managing direct contact with existing and potential major donors with a high level of discretion and professionalism.
  • Facilitates budget preparation for upcoming fiscal year across three giving channels (Major Gifts, Foundations, Planned Giving). Coordinates and documents portfolio/budget revisions throughout year. Reconciles Philanthropy revenue budget with Strategic Services on a monthly basis.
  • Provides general office support as needed for other members of the Sr. Philanthropy Team based in DC office.
  • Other Philanthropy support functions as required.

Donor Relations / Strategic Services Support (25%)

  • Collect Philanthropy mail daily, sorts and distributes to team.
  • Update, enter, and adjust data on current and prospective donors in ROI, ensuring accurate and timely information is developed and stored for proper donor stewardship.
  • Assist Donor Relations Team with data hygiene projects to ensure appropriate and personal communication with our best donor audiences.
  • Responsible for monitoring and responding appropriately to donor and supporter requests which come into our and inboxes.
  • Perform other related duties as assigned.
    Major Gift Team Support (25%)
  • Provide administrative support for Eastern Region Major Gift Officer, including secondary database entry, proofing/editing and preparing donor proposals for mailing, preparing expense reports, and providing donor gift reports and other information as needed.



You Have

  • 2-5 years of experience in an administrative support role.
  • Track record working successfully in teams representing a rich mix of talent, backgrounds, and perspectives—across race and gender.
  • Excellent analytical, organizational, and communications skills. 
  • Experience proofreading and editing documents; proficient writing ability necessary to prepare correspondences and proposals.
  • Ability to multi-task and maintain attention to detail and accuracy.
  • Ability to discreetly handle sensitive information.
  • Strong data entry skills, preferably with fundraising and/or relationship databases.
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, Word, PowerPoint, and desktop publishing programs.
